Minutes and agendas

Council meetings are held on the fourth Tuesday of every month, starting at 3pm. The scheduled venue alternates between Grafton Chambers and Maclean Chambers and customers are advised to check the venue scheduled (see below). Agendas (Business Papers) are available on the Friday prior to the meeting and the minutes are available on the Friday after the meeting.

Meetings are livestreamed for anyone to view. 

Please note that confidential items are not recorded.  

Council recognises that Agendas, Attachments and Minutes of meetings are sometimes large PDF files, and some customers may have limited downloading capacity. Addressing the council

The council holds a public forum prior to every ordinary meeting. To speak, you must apply to Council using the below form. Each speaker will be allowed up to five minutes to address Council, and there will be no more than three speakers for and against any item of business.

To speak at a public forum, a person must first make an application to the council in the approved form.
Applications to make a presentation to council must be made by 4:00pm the Wednesday prior to the council meeting and must include sufficient details of the matter to enable consideration of your request
Applications to make a deputation must be received by 4:00pm on the Friday prior to the council meeting and must identify the item of business on the agenda of the council meeting the person wishes to speak on, and whether they wish to speak ‘for’ or ‘against’ the item.
A person may apply to speak on no more than one items of business on the agenda of the council meeting.
Legal representatives acting on behalf of others are not to be permitted to speak at a public forum unless they identify their status as a legal representative when applying to speak at the public forum.
The general manager or their delegate may refuse an application to speak at a public forum. The general manager or their delegate must give reasons in writing for a decision to refuse an application.
